Add your own visible label to a document

Watermark PDF adds text you choose to selected pages. It is useful for identifying a draft, a review copy or a sample. SandboxPDF does not automatically add its own branding to exports. The watermark is your visible label, and its wording should accurately describe the document’s status.

A watermark is not encryption, redaction or certificate signing. It does not prevent someone from reading the underlying content, prove ownership or establish that a file has not changed. Use it to communicate a status, not as a substitute for the security or evidence mechanism required by your workflow.

Choose wording and appearance deliberately

1. Open the PDF and select the pages that need a label.
2. Enter concise watermark text, such as a truthful draft or review status.
3. Adjust the available size, opacity and position controls.
4. Create a separate output and download it.
5. Inspect both light and dark source pages for readability and interference.

Keep the wording short enough to fit the chosen area. A long sentence can cover too much of the page or become difficult to read at a small size. If a detailed distribution notice is required, a separate cover note or source-document edit may be more appropriate than forcing it into a decorative overlay.

Balance visibility with legibility

Low opacity can make a label less intrusive, but it may disappear against an image or a shaded table. High opacity can obscure important words and numbers. Review a text-heavy page, an image-heavy page and any page with unusual margins. A setting that looks elegant on a blank cover may interfere with a dense appendix.

Check the watermark at normal reading size and in print preview. Colours can behave differently in grayscale printing. If the label communicates an important status, make sure it remains understandable without relying solely on colour. A faint “Draft” mark that vanishes in a photocopy may not serve its intended purpose.

Do not use a watermark to hide confidential text. The original content remains underneath or elsewhere in the file. If information must be removed, use a verified redaction workflow and review hidden information separately. The visual prominence of an overlay says nothing about whether source bytes were deleted.

Keep document status and evidence distinct

A visible “Approved” label should only be added when it accurately reflects the relevant approval process. The tool does not verify who approved the document or whether you have authority to make that claim. Likewise, a name on a page is not equivalent to a certificate signature with a validated identity.

Preserve signed originals before adding watermarks. Changing a signed file can affect cryptographic validation even if its original signature graphic remains visible. Apply visual labels before any required final signing step, following the receiving organisation’s instructions.

After downloading, check page count, placement and every selected range boundary. Make sure the label appears only where intended and does not conceal an important detail.
