Preparing a PDF for printing: checks that prevent expensive surprises

A PDF that looks right on a screen can still print at the wrong size, lose small details or place pages in an unexpected order. Check the delivery requirements and a physical proof before committing to a full print run.

Distinguish office printing from production printing

A handout for an office printer and a brochure for a commercial press have different requirements. Office printing usually focuses on page size, orientation, scaling, readability and duplex behaviour. Production printing may also require specific colour handling, bleed, trim information, fonts and a printer-supplied export specification.

SandboxPDF can help organise, rotate and arrange pages, but it is not a complete professional prepress application. It does not promise colour-managed conversion, automated bleed creation or certification to a printer’s production standard. If you are paying for a print run, obtain the printer’s specification before changing the file.

Do not infer the required PDF settings from the paper’s final visible dimensions alone. A production file may need material outside the trim edge, while a simple office document may need a safe margin inside the printable area. These are different purposes for extra space around content.

Confirm the actual page dimensions

A PDF page has physical dimensions independent of how large it appears in a browser window. A4 and Letter are similar but not identical. A document can also contain a mixture of page sizes. The viewer’s “fit page” display can hide those differences because each page is scaled to the available screen space.

Inspect page properties or the print preview for representative pages. Check orientation and whether the intended paper size matches the document. If a diagram or form must be printed at an exact scale, verify its dimensions rather than trusting a visual impression on screen.

For a mixed-size document, decide whether the printer should choose paper by page size or scale everything to one stock. The correct choice depends on the purpose and available trays. A large drawing reduced onto a small sheet may be readable as a reference but unsuitable for taking measurements.

Understand printer scaling

Print dialogs commonly offer actual size, fit and shrink-oversized options. These choices can change the physical size of text and diagrams. Adobe’s page-size printing guidance distinguishes these options and notes that actual-size printing can crop content that does not fit the paper.

Use actual size when scale matters and the page fits the printable area. Use a fitting option when the priority is keeping all visible content on the sheet, while accepting a scale change. Check whether the printer driver adds another layer of scaling. Two separate “fit” operations can reduce a page more than expected.

If you have already created an N-up sheet in SandboxPDF, do not accidentally enable another N-up setting in the print dialog. A four-page sheet printed again as four-up can place sixteen original pages on one physical sheet. The result may technically contain everything and still be unusable.

Check margins and edges

Many office printers cannot print to the very edge of the paper. Text, page numbers or lines placed too close to the boundary may be clipped. A screen preview does not necessarily show the printer’s actual unprintable area. Leave an appropriate safety margin and inspect a physical proof.

Cropping can make a page look tighter, but it does not create missing bleed or extend artwork. It can also hide content without deleting it from the file. Use Crop PDF for presentation adjustments, not as a substitute for production layout work or sensitive-information removal.

For professional work, ask the printer how trim, bleed and safe areas should be represented. Do not add arbitrary borders or crop marks because they look familiar. The printer may want marks supplied in a particular way, or may prefer to generate them in its own imposition workflow.

Inspect the smallest meaningful detail

Look at small text, thin rules, chart labels and faint images at the intended print size. A high-resolution screen can make weak details appear more readable than they will be on paper. Conversely, zooming far into a scan can make harmless pixelation look alarming. Judge both at a useful scale and on a proof.

Check grayscale behaviour when the printer or budget requires monochrome output. Two coloured chart lines can become nearly indistinguishable. Light text on a coloured background can lose contrast. A diagram that communicates through colour alone may need labels or a different design before printing.

Compression choices matter here. A heavily rasterized copy can blur small type and barcodes. If the source contains vector text and lines, preserve them where possible. See the compression guide before choosing settings solely to reduce transfer size.

Fonts and symbols need a deliberate review

Missing or substituted fonts can change line breaks, spacing and special characters. Inspect headings, tables, mathematical notation and non-Latin scripts in the final PDF. A document may open without an error while displaying a substitute glyph in a critical place.

If you have converted from Word, Excel or PowerPoint, compare the PDF with the source application’s intended print view. Office editing views can hide page boundaries that become obvious in the export. A spreadsheet column may spill onto another page, and a presentation may contain content outside its visible slide area.

Use a few known strings as checks: an accented name, a currency sign, a formula and a line with punctuation. Read them rather than merely glancing at the page. If the output is wrong, return to the source or conversion settings before arranging it into a booklet or grid.

Page order is part of print quality

Verify the first and last pages, section boundaries and any intentionally blank pages. In a duplex document, a blank page may be necessary to make a chapter begin on the correct side. Removing every blank page can therefore break the intended reading experience even though the file becomes shorter.

For a booklet, the print order differs from ordinary reading order. Pages are paired so that folding produces the correct sequence. Do not manually reorder a booklet file back into numerical order because its first sheet looks unusual. Instead, print a small numbered proof and fold it.

For an ordinary handout, Organize pages and Page numbers can help prepare a clear sequence. Apply page numbers at the appropriate stage and check whether they refer to original pages, handout sheets or another numbering scheme. Those are different references for the reader.

Duplex settings can reverse the back side

The choice between long-edge and short-edge binding changes how the reverse side is oriented. The correct setting depends on page orientation and the intended way the sheet is turned or folded. Printer interfaces sometimes describe this with icons rather than consistent terminology.

Print two sheets with obvious page numbers and a large orientation marker before running the full job. Turn or fold them exactly as the final reader will. If the reverse side is upside down, adjust the duplex setting and repeat the small proof. This simple physical check is more reliable than guessing from a driver label.

Manual duplex printing introduces another variable: how the paper is reinserted into the tray. Follow the printer’s instructions and test with a small batch. Mark one corner of a test sheet if necessary to understand the feed orientation before risking the full document.

Example: a training handout

Suppose a presentation has thirty slides and you want a four-up A4 handout. First, export the slides to PDF and check that all slides appear correctly. Create a four-up layout with readable margins and spacing. The resulting PDF should have eight sheets, with the final sheet only partly filled.

Open the exported handout and inspect slide numbers and labels. Print one sheet at the intended scale without enabling an additional multiple-pages setting. Ask whether the smallest chart labels are readable from a normal reading distance. If not, choose two-up rather than forcing the original four-up plan.

If the handout will be duplex, test the reverse-side orientation. Check that the final partial sheet is expected rather than a missing-slide error. Only then print the full batch. Saving paper is useful, but a handout that cannot be read does not serve the training session.

Keep a final proof and a clear delivery file

Save the exact PDF that passed review, with a filename that distinguishes it from drafts and source files. If a print shop is involved, include only the requested deliverables and instructions. Avoid supplying several near-identical versions without indicating which one is final.

Retain a small proof or record of the accepted settings when the job will be repeated. A later printer-driver update or a different paper size can change the outcome even when the PDF is unchanged. For grid layouts, read the N-up guide; for folded documents, read the booklet guide. The final check is the printed object that the reader will actually use.

Inspect the test sheet under ordinary reading conditions, not only beside a bright screen. Fine grey text can become difficult to read on the intended paper.
