Capabilities and limitationsCreate a focused document without losing the source
Extract pages keeps a chosen subset of pages together in one new PDF. It is useful for sharing a relevant chapter, preparing a small appendix or making a reading copy of selected sections. The source remains separate. Extraction does not summarise the content or decide whether the selected pages provide enough context for the reader.
Identify the purpose before choosing the range. A page containing a result may depend on a methods section or a qualification elsewhere. A table may continue across a page break. Include the necessary context and explain when the result is only an excerpt from a larger document. This is especially important when the excerpt will support a decision or be circulated without the original.
Choose a range you can verify
- Open the PDF and inspect the preview and physical page count.
- Select the required thumbnails or enter individual pages and ranges.
- Check the first and last selected pages for incomplete sections or tables.
- Choose a distinct output name and create the result.
- Download and reopen the PDF to confirm the selected content and order.
Use physical page positions rather than assuming the printed footer gives the selection number. Front matter can shift numbering, and appendices may use letters or restart at one. A selection such as 4–8 refers to those positions in the PDF, not necessarily the visible labels. Inspect the preview whenever the numbering scheme is unfamiliar.
Verify the excerpt as a new document
Check that the output page count matches the number you intended to keep. Read the opening and closing lines to see whether the excerpt begins or ends in the middle of an important explanation. Check diagrams, captions and references to omitted material. The extracted file should be understandable for its stated purpose, even if it is not a standalone replacement for the source.
Review interactive behaviour where it matters. A link to another page in the original may no longer be meaningful after extraction. Bookmarks and forms can require separate checks. A page-copy operation is not a promise to reconstruct all document-level relationships for the new subset. If the recipient needs an accessible or interactive document, assess those requirements explicitly.
Existing certificate signatures should not be treated as preserved evidence over the extracted file. The excerpt is a new document with different bytes and a different scope. Keep the signed original and follow the relevant recordkeeping procedure. A visible signature graphic on an extracted page does not establish that the excerpt is independently certificate-signed.
Keep a clear connection to the original
A useful filename preserves the source basename and adds a descriptive suffix, such as a section name or a page range. Avoid inserting unnecessary personal information into filenames. If you manually describe the range, check that it matches the actual exported pages. A misleading filename can be as confusing as a wrong selection.
For recurring workflows, record which pages were selected and why. This helps reproduce the excerpt after the source is updated. Do not assume that the same numeric range identifies the same content in a new revision; an inserted cover or chapter can shift every later page. Recheck the boundaries whenever the source changes.
Use Split PDF when every page should become a separate file, and Organize pages when you need a deliberately changed sequence. See comparing versions before reusing ranges from an older document.
Frequently asked questions
Does extraction make one file or several?
It keeps the selected pages together in one PDF. Split PDF creates individual page files instead.
Can I select non-consecutive pages?
Yes. Use the supported individual-page and range controls, then verify the resulting order.
Why does page 1 in the tool differ from the printed number?
The tool counts physical PDF pages from the beginning. Covers and front matter can make printed numbering different.
Does the excerpt retain the original signature’s validity?
Do not assume that. Preserve signed originals and treat the excerpt as a separate derivative.
Can extraction remove confidential content automatically?
Only omitted pages are excluded by selection. Review retained pages and use Redact or Sanitize for their respective purposes.
