Place a visual signature with clear expectations

Sign PDF lets you draw a handwritten mark or place a typed name on a page. It is useful when a process accepts a visual signature on a document. This feature does not create a certificate-based digital signature, verify identity or provide a remote signing workflow. Check the recipient’s requirements before choosing it.

A familiar-looking signature graphic can be copied like other visible page content. Its appearance alone does not establish who placed it or whether the surrounding document changed later. For a process requiring cryptographic integrity and certificate validation, use an appropriate certificate-signing workflow instead and understand its separate limits.

Place the signature in the correct context

  1. Open the final document and navigate to the intended signature area.
  2. Choose the supported drawing or typed-text method.
  3. Place the mark carefully and review its size and position.
  4. Undo and redraw if it overlaps labels, dates or other required fields.
  5. Create, download and reopen the signed visual copy.

Read the document before applying any signature. The tool cannot determine whether you understand or accept its terms, whether you have authority to sign for someone else or whether the process is legally sufficient. Do not use a saved or copied mark to misrepresent another person’s approval.

Check the whole signature block

A signature often belongs with a name, role, date or statement of agreement. Confirm which information the form requests and whether the tool’s placed text meets that visual need. Do not invent a date or authority label merely to make the block look complete. Fill required details accurately through the appropriate fields or annotation controls.

On a phone, precise placement can be difficult. Inspect the preview at a useful scale and consider a larger screen if the signature area is small. A freehand gesture can look different after export or when printed. Check the actual saved page for smoothness, clipping and legibility rather than relying on the drawing action alone.

Keep the mark clear of existing content. Covering a sentence or checkbox with a signature can create ambiguity about what was agreed. If the source is a scan, make sure the page is upright and readable before signing. A signature on an unreadable or incomplete document is not a useful final result.

Preserve the right versions

Keep the unsigned source and the visual signed copy distinct according to your recordkeeping needs. Use a recognisable filename without implying a certification the tool has not provided. If you later edit the content, do not leave an old signature mark in a way that misleadingly suggests approval of the changed version.

If the source already has a certificate signature, preserve it and follow the required amendment process. Adding a visual mark can rewrite the file and affect existing validation. The presence of a signature image in the result is not evidence that previous digital signatures remain valid.

Reopen the downloaded result, check every intended mark and verify page count and important form values. If the recipient will print the document, inspect a physical proof where necessary. Read the certificate-signing checklist to understand the alternative, and form completion guidance when signing a completed form. The correct workflow is the one the recipient accepts and you can accurately describe.
